Privacy Policy

How FreePDFTemplates.com handles personal information, written for visitors in Canada and the United States.

1. Overview

FreePDFTemplates.com ("we", "us", "the site") publishes free, editable form, checklist and planner templates that anyone can download as a PDF without creating an account and without paying.

Because the site is free, we deliberately collect as little as possible. In short:

  • You can browse, edit and download watermarked PDFs with no account, no signup and no contact information at all.
  • The only personal contact information we ever ask for is an email address or a mobile number, and only if you choose to unlock watermark-free downloads.
  • Drafts you type stay in your own browser on your own device. They are not sent to us unless you download.
  • We keep basic traffic statistics (pages viewed, device type, approximate city/country from your IP address) so we know which templates are useful.

This policy explains what we collect, why, how long we keep it, who we share it with, and the rights you have under Canadian law (including PIPEDA and Quebec's Law 25) and United States state privacy laws (including the California Consumer Privacy Act as amended by the CPRA).

2. Information you give us

Contact details for watermark-free downloads (optional). Blank downloads carry a light watermark. If you want the watermark removed, we ask for an email address or a mobile number. That contact is the only personal information we ask you to type. We use it to deliver the clean download and to send you a copy of the document you generated, and we store it alongside a record of that download (which template, when, and the export options you chose). We do not ask for it before a watermarked download, and you can always download with the watermark instead.

Anything you type into a template. Names, addresses, invoice totals and similar entries are kept in your browser while you edit, and are rendered into the PDF you download. We do not require, request or want sensitive information (health, financial account, government identifier or similar) in any template.

Messages you send us. If you email us, we keep the message and your address so we can reply.

3. Information collected automatically

  • Usage and download records: the template or page viewed, the date and time, the export settings (paper size, orientation, filled or blank), and the referring page.
  • Device and connection data: browser type, operating system, screen size, language and general device category.
  • Approximate location: country, region and city derived from your IP address. We do not collect precise GPS location and we do not store your full IP address for analytics purposes beyond what is needed to derive that approximate location and prevent abuse.

This information is aggregated to understand which templates are popular and how the site performs. It is never linked to the contents of a document you created.

4. Cookies and local storage

  • Local storage on your device: your in-progress draft, your editor preferences and, if you unlocked a watermark-free download before, the email or mobile number you used, so you are not asked twice. This stays on your device and can be cleared at any time from your browser settings.
  • Essential cookies: only what is needed to serve the site securely.
  • Advertising cookies: the site is supported by advertising. Where third-party advertising (such as Google AdSense) is active, Google and its partners may place cookies or use device identifiers to select and measure ads. Google's use of advertising cookies is described at policies.google.com/technologies/ads, and you can manage personalised advertising at adssettings.google.com or opt out of many providers at optout.aboutads.info and optout.networkadvertising.org.
  • Analytics: we use first-party traffic records, not a cross-site advertising profile of you.

You can block or delete cookies and site data through your browser; the editor and downloads will still work, though you may be asked for your contact again.

5. Why we use personal information

  • To provide the service: generate your PDF, remove the watermark when you ask, and send you the copy you requested.
  • To keep the site free: understanding overall traffic and download volumes, and serving advertising on pages.
  • To protect the service: detecting automated scraping, spam, abuse or attempts to break security.
  • To comply with law and respond to lawful requests.

We rely on your consent for the contact details you volunteer, and on our legitimate interest in operating, securing and measuring a free public service for the traffic records described above. You can withdraw consent at any time by contacting us, though we may then be unable to send you further watermark-free copies.

6. Sharing and disclosure

  • Service providers: the hosting and application platform that runs the site, email delivery providers, and analytics or advertising providers described above. They may only use the information to provide their service to us.
  • Legal requirements: where we are required by law, subpoena or court order, or where disclosure is necessary to protect rights, safety or the integrity of the service.
  • Business changes: if the site is ever sold or transferred, information may transfer as part of it, under this policy.
  • We do not sell your personal information, and we do not rent or trade your email address or phone number.

7. How long we keep it

  • Contact details supplied for a watermark-free download: kept while the service operates so we can resend or verify a download, and deleted on request.
  • Download and traffic records: kept for up to 24 months, then deleted or aggregated so they no longer identify you.
  • Drafts and preferences: kept in your browser until you clear them; we hold no server copy unless you download.
  • Messages you send us: kept for up to 24 months after the matter is closed.

8. Security

The site is served over HTTPS. Access to stored records is restricted to the small number of people who administer the site, and we minimise the data we hold in the first place. No method of transmission or storage is completely secure, so we cannot promise absolute security, but we will notify affected users and the relevant authorities where a breach creates a real risk of significant harm, as required by Canadian law and applicable US state breach-notification statutes.

9. Where your information is processed

We are based in Canada, and our hosting, email and analytics providers may process information in Canada, the United States or other countries. Where information is transferred outside your province or country, it may be accessible to courts and authorities there. Our providers are bound by contract to protect it, and we remain responsible for personal information in their hands, as PIPEDA and Quebec's Law 25 require.

10. Your rights in Canada

  • Ask what personal information we hold about you, and receive an account of it.
  • Ask us to correct anything inaccurate or incomplete.
  • Withdraw your consent to the use of your email address or phone number (you may then lose access to watermark-free downloads).
  • Ask how we handle your information and to whom it has been disclosed.
  • Under Quebec's Law 25, request portability of the information you gave us in a structured, commonly used format, request that we stop disseminating information, and ask about our privacy governance. Our privacy officer handles these requests.
  • Complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca), or to the privacy regulator in your province (for Quebec, the Commission d'accès à l'information du Québec).

11. Your rights in the United States

Depending on your state of residence (including California, Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana and others with similar laws), you may have the right to:

  • Know and access the personal information we have collected about you and how we use it.
  • Request deletion or correction of your personal information.
  • Opt out of the sale or sharing of personal information, and of targeted advertising. We do not sell personal information; where advertising cookies are active, you can opt out of advertising-related sharing using the links in section 4.
  • Limit the use of sensitive personal information. We do not collect sensitive personal information, and we do not use it to infer characteristics about you.
  • Not be discriminated against for exercising your rights.
  • Appeal a decision we make about your request (Colorado, Virginia, Connecticut and others).

To exercise any of these rights, contact us using the details below. We will verify your request using the email address or phone number you gave us, and respond within the time required by your state (45 days for California, with an extension where permitted). An authorised agent may submit a request on your behalf with proof of authorisation. You may also opt out of personalised advertising through the Google and industry links in section 4.

12. Email and text messages

We use your email address or mobile number to deliver the download you asked for and related service messages. We do not send marketing email or marketing texts to addresses collected this way, and we do not share them with third-party marketers. If you are in Canada, these are commercial electronic messages under CASL sent on the basis of your request for the download; every message includes a way to unsubscribe. If you are in the United States, we comply with the CAN-SPAM Act and, for any text message, the Telephone Consumer Protection Act: message and data rates may apply, and you can reply STOP to opt out of texts.

13. Children

The site is a general-audience service and is not directed to children. We do not knowingly collect personal information from children under 13 (or under 16 in California). If a parent or guardian believes a child has given us an email address or phone number, contact us and we will delete it.

14. Do Not Track and Global Privacy Control

We honour the Global Privacy Control signal as a request to opt out of advertising-related sharing where your state law requires it. Browsers' "Do Not Track" signals are not standardised; we treat the site as non-tracking of you across other websites.

15. Changes to this policy

We may update this policy as the site or the law changes. The revised version takes effect when posted, and we will change the date at the bottom of this page. Material changes affecting how we use your contact details will be noted on the site.

16. Contact us

Privacy questions, access, correction, deletion and opt-out requests: contact our privacy officer at [contact email]. Tell us the email address or phone number you used and what you would like us to do, and we will confirm within a few business days.
